Whether it's a task for a case manager, to wish a client Happy Birthday or even a reminder to make sure all records have been requested on a case, CASEplan can help automate your workflows.
How to add a new automated task to CASEplan.
-
NOTE: This can only be done by a firm administrator or a user with the CASEplan advanced permission.
-
Navigate to the Icon in the top right corner of your account and select CASEplan.
-
Click the Add Task button on the right side of the page.
-
A pop-up window will appear.
-
Add in your task and the corresponding data. All fields are mandatory.
-
Case Status – This is the status that will trigger the task. When a user changes a case to this status, the task will be generated. We recommend selecting a Case Status in Pre Litigation and on, due to the default of cases saving in the Intake Case Status.
-
Case Type – The task will be triggered in the case type you select. You can choose to apply the task to “All Case Types,” or select one or more from the menu.
-
Priority – This is the priority level of this task: low, regular, medium, or urgent.
-
Task – This will be the description of the task.
-
# of Days – This is the number of days from whichever “After Date” or “Before Date” you specify. This will determine the task due date.
-
After Date* – The specified “# Days” will begin counting after this date. Choose the status you want to begin counting from.
-
Date Case Status Changed – The date the case is changed to the “Case Status” you’ve selected to trigger the task
-
Date Retained – The date your case was “retained” as a client (usually the date you moved a case out of the “Intake” case status)
-
Date of Intake – The date your case was added to CASEpeer
-
Date of Loss – The date of the incident as entered in CASEpeer
-
-
Before Date* – The specified “# Days” will count backward from the selected “Before Date.”
-
Client Birthday – Client’s date of birth.
-
Statute of Limitations – The statute deadline.
-
-
*Either “After Date” or “Before Date” is required, not both.
- Assignee Type- select between a case worker's assignment role or a specific employee.
-
Assignee – If Employee is selected as the Assignee Type, you will select the specific user's name. If the Case Worker Assignment is selected, select the role you want to receive this task.
-
NOTE: If there is no user assigned to a certain role when a CASEplan is triggered, the firm’s supervising attorney will be assigned by default.
-
-
Trigger Date – Notifies the assignee of tasks on the selected date. The task will not appear in the assignee’s task list until this date.
-
CASEplan Status - Choose whether or not you would like to begin applying this task.
-
-
Select Save.
-
Alternatively, select Save & Add Other to continue creating CASEplan tasks.
-
The new task will appear in the list, and will immediately apply to any cases changed to the designated status.
